HOW TO OPERATE

Let Grocers Coupon Service (GCS) do your sorting, counting and redeeming the thousands of coupons you receive annually from your customers.

Complete Application/ Coupon Contract
Pack your coupons in boxes or envelopes
Ship them by insured mail or via one of the parcel services
And, if your not a member, join your trade association

OUR MISREDEMPTION POLICY IS DIRECT AND FOLLOWS INDUSTRY ACCEPTED GUIDELINES FOR COMPLIANCE

Grocers Coupon Service (GCS) and your Trade Association join the National Grocers Association, Food Marketing Institute, National Association of Convenience Stores and other involved professional trade associations in expressing deep concern over the problem of coupon misredemption and hereby resolves to take positive steps to reduce this national dilemma. While the overwhelming proportion of grocery store merchants and customers' redeem as per the instructions printed on the coupon, we deplore any abuses, which exist. Misredemption can take many forms, including customers presenting coupons for merchandise not purchased, cashiers cashing coupons for themselves or their friends when no merchandise was purchased or store operators or wholesalers purchasing coupons in bulk from organized groups to redeem from manufacturers at full face value. These are highly undesirable, unethical business practices, which could injure the entire industry by creating a climate of dishonesty. We encourage grocery store retailers to formally adopt a policy to honor the individual specifications for coupon redemption, to discourage group or individual programs that foster misredemption and to inform and educate employees and customers as to the coupon redemption policy of the firm. This should include actions necessary to discourage customer pressures to misredeem and improper employee misredemption.

In order to keep the Grocers Coupon Service (GCS) program current with the needs of today's retailer and competitive with what is being offered in the market today, GCS provides various rates to its members. Each rate is based on total coupon volume per shipment. Depending on the total volume of coupons submitted (see chart below), you will receive a check for the full amount of your redeemable coupons, plus a share of the handling fee as outlined below. We strongly recommend that coupon shipments be redeemed in a timely manner to assure you a greater return.

DO YOU KNOW WHAT CHARGEBACK IS?
In order to pay you in a timely manner, we always pay the full value of your coupon shipment in advance of payment from the manufacturer. This is done because it takes the manufacturers anywhere from one month to a full year. Occasionally, manufacturers refuse payments for coupons submitted for redemption (commonly called "chargebacks") because they require further verification on the retailer or the products sold. Since GCS initially paid you the full amount of your shipments, in these cases, we must charge you back for rejected coupons. Every time this occurs, you will be given complete information and directions for further redemption. Many times the manufacturer just needs to update his files through a questionnaire. In some instances, they need proof of product purchases. By complying with the manufacturer's request, your chargeback coupons will be redeemed in full in a timely manner.

TIPS ON REDEEMING COUPONS
The following guidelines, properly followed and enforced, will help you avoid misredemptions, returns and demands by manufacturers for proof of purchase.

1. Redeem only coupons for products and sizes specified on coupons.
2. Accept only one coupon per product.
3. Do not trim coupons you redeem. Manufacturers want to receive coupons in the same condition you receive them from your customers.
4. Make sure it is a complete coupon (some items look like coupons, but are not).
5. Refuse to accept parts of coupons with the redemption instructions torn away or missing.
6. Watch for expiration dates and special redemption instructions. Do not accept expired coupons.
7. The coupon must have the contract agreement printed clearly on one side; without this; it is not a coupon and should not be forwarded for redemption.
8. Never exchange coupons for cash unless specified.

ELIGIBILITY
Any food retailer can use the GCS provided the retailer is a member of their Trade Association. The Coupon Redemption Agreement must be completed and on file with GCS.

IN ORDER TO REDEEM COUPONS THERE ARE CERTAIN RULES FOR THE:

Manufacturer
They must plan their product promotion with care. They must design a legal, legible, easy to handle coupon, to try and do otherwise could involve legal problems.

Consumer
They must plan their shopping items to include the coupons they have. They must remember to redeem the coupons only for the merchandise as stated as stated on the coupon, to try to do otherwise could involve legal problems.

Retailer
They must be aware if the coupons in their locality and stock merchandise accordingly. They must redeem only the coupons presented with the specified merchandise as stated on the coupon. They must NEVER allow cash to be exchanged for coupons in any way. They must protect this effective method of direct consumer discounted that the manufacturers have planned.

Coupon Clearing House
They must carefully accept the retailers coupons and verify their authenticity. They must establish that a retailer be an active business, with a proper business address. The coupon must be individually trimmed by the customer; not the power machine cut that creates "a gang-cut" appearance.
